Revise a sent quote
Change the price on a sent quote with a new revision, and know which version the customer should be reading.
What this is for
Once a quote has gone, its pricing is locked. To change a price, quantity or size, make a new revision: a copy you can edit and send again, kept with the earlier versions. When a newer revision has gone to the customer, every older one says Replaced by on the quote page and on its PDF, so nobody goes ahead on an out-of-date price by mistake.

The quote page
- Create new revision
- Copies the sent quote into a new draft and opens the builder. If a draft revision is already open, it opens that one.
- Quote revisions
- Every version of this quote, oldest first, each with what it is now: Sent, Not emailed, or Replaced by the newer one.
- Replaced by …
- A banner on an older revision once a newer one has gone, with a link to the newer one. Its PDF carries the same warning at the top.
- Q-1001-R1 or Q-1042 · revision of Q-1001
- How a revision is numbered depends on Settings → Quotes & invoices → Quote revisions. Either way the revisions stay together.
Before you start
- The quote is Sent. A draft is changed in the quote builder; an accepted quote is changed on its job.
Step by step
- 1
Open the sent quote and press Create new revision, then confirm. The builder opens on the new draft.

Change what the customer asked for and press Email quote. Once the email has gone, the new revision reads SENT and the older one reads Replaced by it.

If the customer goes back to an older version, open that revision and press Mark as accepted. Sign OS says which version is the latest and asks you to confirm before it makes the job.

To give each revision its own quote number instead of -R1, -R2, turn on Give each revision its own quote number under Settings → Quotes & invoices.
Tips & gotchas
- Only one revision of a quote can ever be accepted.
- For a wording change only, you don't need a revision: see Change the wording on a sent quote.
- Searching the quotes list for Q-1001-R2 finds that revision; an emailed reply that mentions it is matched to it as well.
