A WorkflowMax alternative built for sign shops

Xero switched off its WorkflowMax on 26 June 2024. Xero agreed to sell the WorkflowMax brand to BlueRock, the WorkflowMAX on sale today is a separate product, and Xero said existing customers would not be moved across to BlueRock's product automatically. If your sign shop ran its jobs in WorkflowMax, this page covers what Sign OS does differently, exactly what you can bring across when you switch, and what you can't.

What happened to WorkflowMax, checked 29 October 2026

Xero announced on 22 March 2023 that it would retire WorkflowMax on 26 June 2024, after which the product would no longer be available. The next day Xero announced it had agreed to sell the WorkflowMax brand to BlueRock, a business advisory firm, which planned a new product called WorkflowMax by BlueRock. Xero said existing WorkflowMax customers would not be migrated to that product automatically, and that the decision had no impact on Xero Practice Manager.

A product under the name, WorkflowMAX, is on sale today. It describes itself as job management software for service businesses, with industry pages for architects, engineers and designers, building and construction, business consultants and creative agencies. Sign shops aren't among them.

WorkflowMAX's published offer, checked 29 October 2026

These are WorkflowMAX's terms, not Sign OS's. WorkflowMAX publishes per-user monthly prices in several currencies, Australian dollars among them, with a minimum team size on each plan: three users on Essentials, five on Pro and ten on Advanced. It lists no setup fee. Sign OS is priced in AUD by user bucket, from $89 a month, with no onboarding fee. Check WorkflowMAX's pricing page for its current figures in your currency.

Built around hours, or built around what the job uses

WorkflowMAX is built around people's time: who worked on the job, for how long, and what that comes to on the invoice. Sign OS counts the sheets, rolls and machine time as well.

Sign OS prices every product from a recipe: substrates by the sheet or roll, machine minutes, labour, waste and markup, calculated the same way on every quote. Between the quote and the invoice it runs the workshop: versioned artwork proofs the customer signs off in a browser, production boards and a schedule, purchase orders raised from what a job is short, then dispatch and install off the same job.

  • ✓Materials priced from the sheets and rolls a job actually uses
  • ✓Machine time charged by the minute, setup and run separately
  • ✓Versioned artwork proofs with customer sign-off before production
  • ✓Production boards, purchasing, dispatch and invoicing on one job

What comes across when you switch

If you invoiced through Xero, your customers and suppliers are already there, and that is the quickest way across. Import from Xero reads your Xero without changing anything in it, shows you what it found, and brings across what you choose: customers and suppliers with their contacts, addresses and payment terms, your business details and logo, and the account and tax codes your invoices should use. Each one stays linked to its Xero contact, so invoices from Sign OS land on the same contact in your books. You can start the trial with Sign up with Xero and go straight to it.

Everything else comes by spreadsheet. The bulk import takes customers, suppliers and their addresses and contacts, your materials, product names and descriptions, and open jobs as job shells (customer, description, due date and status), with a check of every row before anything is saved. Your old quotes, jobs and invoices can come across as searchable history, which we do with you rather than a button you press: send us your export, we tell you what we can read, and you check a sample before anything is written. Imported history is marked as imported and stays off the production board.

  • ✓From Xero: customers, suppliers, contacts, addresses, payment terms, business details, logo, account and tax codes
  • ✓By CSV: customers, suppliers, their addresses and contacts, and your materials
  • ✓By CSV: product names and descriptions, and open jobs without their line items
  • ✓With us: old quotes, jobs and invoices as searchable history, kept off the production board
  • →Help: bring your customers and suppliers across from Xero
  • →Help: bulk-import from a spreadsheet
  • →Help: bring your history from your old system

What doesn't come across

Sign OS has no WorkflowMax importer, and we'd rather say so here than on day three. Whatever history you kept from WorkflowMax comes across from your export, with us, and we'll tell you up front what in it we can and can't read.

Products are rebuilt, not imported. Xero's products and services aren't brought across either, because Sign OS prices each product from its parts and a flat price would fight that. Most shops build their five most-quoted products in the first week and add the rest as the jobs come in.

  • ✓No one-click WorkflowMax import: history comes from your export, with us
  • ✓Timesheets and staff time history stay in your export
  • ✓Prices and Xero products are rebuilt as recipes, not copied
  • ✓Task lists, job templates and document layouts are set up fresh
  • ✓Open jobs arrive without line items: add the products, or finish them where they are

Your books stay in Xero

Sign OS invoices sync two-way: they go to Xero or QuickBooks Online (MYOB built, not yet switched on), and payment status comes back, so a job's margin stays current without anyone re-keying it. Xero sync and Import from Xero come with the Workshop plan and above, and with the free trial. Invoicing is GST-aware end to end, and time keeping has the team scan on and off jobs so you see what a job really took against what you quoted. Time keeping is included with Workshop, Scale and Signature. You can also choose it as part of Build your own in Plan & billing.

Where WorkflowMAX is the better choice

If most of what you sell is time rather than things you make, a service-business job manager fits better than a sign MIS. That covers design studios billing by the hour, consultancies, and businesses whose jobs are mostly staff time with few materials. WorkflowMAX lists architects, engineers, construction, consultants and creative agencies as its industries, and Sign OS doesn't try to be any of those.

Sign OS is the better fit when your margin is won or lost in the materials, the machine time and getting the artwork right before it hits the router.

  • ✓Design-only studios that bill by the hour
  • ✓Consultancies and agencies where the job is mostly staff time
  • ✓Businesses with few materials and no workshop production

Switching is a trial, not a project

You don't migrate to Sign OS — you trial it in parallel. Bulk CSV import brings customers, materials and suppliers across in an afternoon; the shared catalogue gives you a head start on products; and your next few new quotes run in Sign OS while old jobs finish where they are. If it doesn't earn its keep in 30 days, you've lost nothing — the demo is free and doesn't ask for a card.

  • ✓Bulk CSV import: customers, materials, suppliers
  • ✓Shared global catalogue of materials, machines and processes
  • ✓Run in parallel — no cut-over day, no consultants
  • ✓Free 30-day trial, no card, cancel by simply stopping

Frequently asked questions

Is WorkflowMax shutting down?
Xero's WorkflowMax already has. Xero announced on 22 March 2023 that it would retire WorkflowMax on 26 June 2024, and the product is no longer available. Xero agreed to sell the WorkflowMax brand to BlueRock, and a separate product called WorkflowMAX is on sale today; Xero said existing customers would not be moved to BlueRock's product automatically.
Can I import my WorkflowMax data into Sign OS?
Not with a one-click importer: Sign OS doesn't have one for WorkflowMax. Customers and suppliers come across from Xero with Import from Xero, or by CSV. Materials, product names and open jobs come by CSV. Old quotes, jobs and invoices can come across as searchable history from your export, which we do with you: we tell you what we can read and show you a sample before anything is written. Timesheets don't come across.
Does Sign OS work with Xero like WorkflowMax did?
Yes, two-way: invoices go to Xero or QuickBooks Online (MYOB built, not yet switched on) and payment status comes back. Import from Xero brings your customers, suppliers, business details, and account and tax codes across once. Both come with the Workshop plan and above, and with the free trial.
Does Sign OS track time against jobs?
Yes. Staff scan on and off jobs from the job sheet or a shared workshop tablet, and time nobody scanned can be written up afterwards as a timesheet line that counts the same way. Clocked time shows what a job really took against what you quoted. Time keeping is included with Workshop, Scale and Signature. You can also choose it as part of Build your own in Plan & billing.
What does Sign OS cost?
Launch $89 for 3 users, Workshop $169 for 10 users, Scale $249 for 20 users, Signature $349 for 30 users per month AUD. Users are included up to each plan’s limit; extra users cost $10 per ten a month. There's no onboarding fee, and the 30-day trial is free with no card.
