What you can export yourselfShipped

These downloads are available in the app, subject to your plan and staff permissions. Reports needs Reports access; financial fields need the corresponding financial permissions. Items and material downloads need access to those screens. Time exports include your own entries unless you have permission to see the whole shop. File exports need permission to export shop files.

For reports, choose the data, fields and filters, run the report, then download the result. This exports the selected report fields, not a complete backup of every related record. For files, request a ZIP in Plan & billing and check its progress there. Downloads are limited to 500 MB per ZIP; we also try to email a link to the progress screen. If a download expires or your files exceed the limit, contact us.

Not yetIn development

  • Complete customer and supplier records. You can import them today; a complete contact export still needs a request. Customer summary fields can be downloaded through Reports. Ask and we'll send the complete file within 10 business days.
  • One-click export of everything. Today it's a few exports, or one email to us.

Where it's stored

  • Files, artwork and proofs: Australia. One provider's Oceania region, copied nightly to a second provider in Sydney.
  • Database: Tokyo. The closest region our provider offered when we set up. Moving it to Sydney is planned and written up; it needs a maintenance window.
  • We don't name our providers here — publishing your exact stack helps the wrong people. Doing formal due diligence? Ask and we'll tell you.

Backups

  • Database backed up every night, seven nights kept — we can roll back to any of them.
  • Files copied nightly to a second provider in Sydney, so one provider failing doesn't take your artwork.

How it's kept secure

  • Encrypted in transit and at rest.
  • Shops are walled off at the database level — row-level security, not screen filtering. A request for your data can't return another shop's.
  • Connected credentials encrypted separately from ordinary records.
  • Role-based permissions. Exports and settings are owner and admin only.
  • Sensitive actions are logged, including anyone taking a copy of your files.
  • Errors monitored continuously, alerting tied to the affected shop.

No system is perfectly secure and we won't claim otherwise. Found something? Tell us.

AI and your data

  • We don't fine-tune AI on your shop data. Requests and the relevant shop information are processed by hosted AI providers when you use AI features; see our Privacy Policy. Your quotes, jobs, customers, pricing and artwork are not training material.
  • Your account is never shown to anyone — not in demos, screenshots or examples.
  • Feedback helps us evaluate improvements: when someone rates or corrects a ReAct reply, that feedback is kept and may be used to improve the assistant later. Feedback can include the correction, rating and context from the interaction. It does not automatically train a shared model.
  • Don't want even that? Tell us and we'll exclude your shop.

If you leave

  • Cancel any time. Export what you want first — everything stays available until your account closes.
  • Your data is deleted 30 days after your account closes. That window is so you can change your mind or ask for a copy. It's automatic, and it applies to expired trials the same as paid accounts.
  • Staff logins go with it. Anyone who only belonged to your shop is removed too. Anyone who also belongs to another shop keeps their login there.
  • Want it gone sooner? Ask, and we'll delete it.

If Sign OS ever went away

Fair question for a small company. We won't claim we're too big to fail — we're a small Australian business and you can see that.

  • You're never locked in. Every export above works today, without our involvement. You don't need us reachable to have your data.
  • Formats anything can read — CSV, Excel, PDF, ordinary files in a ZIP.
  • Export monthly and keep it if you like. Some shops should.
  • No formal code-escrow arrangement, and we won't pretend otherwise. Need one? Let's talk properly.

Questions

Can I get my data out without asking you?

Yes, for most of it. Customers and suppliers currently need a request; that export is in development.

What format are exports in?

CSV and Excel for records, PDF for documents, a plain ZIP for files. Nothing proprietary.

Where is my data stored?

Your job files and artwork are in Australia — held in one provider's Oceania region and backed up nightly to a second provider in Sydney. The database is currently hosted in Tokyo; moving it to Sydney is planned.

How often is it backed up?

The database every night, with seven nights kept. Files nightly, to a second provider in Australia.

Is my data separated from other sign shops?

Yes — at the database level, using row-level security, not by filtering on screen.

Do you train AI on my data, or show my account to anyone?

We do not fine-tune models on your shop records or show your account in demonstrations. AI features send the relevant information to hosted providers for processing. Feedback, ratings and interaction context may be retained to evaluate improvements, without automatically training a shared model. Ask us to exclude your shop from the feedback set; see Privacy for details.

What happens to my data after I cancel?

It's deleted automatically 30 days after your account closes, expired trials included. Staff logins that belonged only to your shop go with it; anyone who also belongs to another shop keeps their login there.

Can you delete my data sooner if I ask?

Yes. Email us and we'll remove your shop's data.
