Keep a plant & equipment register
Every machine, who may use it, service schedules and tagging out of service.
What this is for
Printers, routers, laminators, the forklift, EWP, ladders and vehicles all need their manuals, their safe work procedures and their services. The register keeps them in one place, puts the next service on the planner, reminds the safety contacts before it's due, and lets you tag a machine out of service.

Adding a machine
- Name · Kind · Make · Model · Serial number · Asset number · Where it is
- What it is and where to find it.
- Department (optional)
- Service downtime comes off this department's hours on the planner.
- Who may use it
- The licences or tickets needed. Shown on the machine as a guide; it doesn't stop anyone using it.
- Its costing machine (optional)
- Links it to the machine you price with. It changes no prices.
One machine
- Tag out of service · Back in service
- Asks why, as it reads on the tag, and shows a red Don't use it banner.
- Manuals and procedures
- The manual, safe work procedure and other documents.
- Servicing · Add a service schedule
- What the service is, every how many days or months, next due, and hours it takes the machine out.
- Log this service · Log a repair or check
- When and who did it, notes and the service report. Logging rolls the next due date forward from the day it was done.
- Sold or scrapped
- Takes it off the register and stops reminders; the history is kept.
Before you start
- Your shop is on Workshop or Scale. Safety contacts and HR add and change machines; staff can look if your shop lets them.
Step by step
- 1
Open HR & Safety → Plant & equipment and press Add a machine.
- 2
Fill in what it is and where it lives, pick its department, and the tickets needed to use it. Save.

On the machine, add the manual and safe work procedure under Manuals and procedures.

Press Add a service schedule, say what it is, how often and when it's next due. Add hours out of service if it takes the machine off the floor.

When the service is done, press Log this service and attach the report. The next due date works itself out.

If a machine can't be used, press Tag out of service and say why. Press Back in service when it's fixed.
Tips & gotchas
- Every service due date shows on the Planner without taking capacity. With downtime hours and a department, it also takes those hours off that department that day.
- This register is separate from the machines you price with. Linking them only keeps the two matched up.
- Tagging a machine out of service doesn't change the planner or reminders.
