Choose your safety contact and state regulator
Who gets hazard and incident reports, your regulator's number, and safety reminders.
What this is for
Hazard and incident reports need to land with someone. This page names that person, a backup, and anyone else who should hear about an incident straight away. It also sets your state, so the incident screen shows the right safety regulator's number, and when reminders go out for safety data sheets and machine services.

Who deals with safety reports
- Safety contacts
- Get every hazard and incident report, record what was done and close it. They also keep the chemical list and the plant register. Until you choose someone, reports go to the HR people.
- Backups
- Can deal with reports too, and get them when no safety contact is still on staff.
- Also told about an incident straight away
- For example the owner. They're told an incident happened and whether it has to be reported, but can't open the report, because it can hold injury details.
Your state's safety regulator
- State or territory
- Starts on your shop's calendar region. Once a state is known, the box shows the regulator's name and number that the incident screen will show.
Reminders
- Safety data sheets: days before five years old
- When the safety contacts are reminded to get a new sheet. 30 and 0 to start.
- Machine services: days before due
- When they're reminded about a service. 14, 3 and 0 to start.
- Keep reminding weekly once overdue (up to 12 weeks) · Email them as well
- Weekly nudges after the date, and an email as well as the notification in Sign OS.
Before you start
- Your shop is on Workshop or Scale, and you can change HR & safety records.
Step by step

Open Settings → Team → HR & safety and choose the Safety tab.

Add one or two safety contacts, and a backup.

Add anyone who should hear about an incident straight away.

Check the state is right. If it's blank, choose it so the incident screen can show the number to ring.

Set the reminder days, then Save.
Tips & gotchas
- Sign OS never reports an incident to the regulator for you. It shows the number; your shop makes the call.
- A safety contact who isn't an HR person can still open the Incidents list, even though they don't get the Incidents tile on the home page.
