Let customers approve a quote online

Add an approval link to quote emails and follow up anything still needed.

What this is for

An optional button in the quote email lets the customer read the quote, type their name and approve it without a login. Ready quotes become jobs; approvals needing more details come back to the shop to finish.

Before you start

  • •An admin turns this on for the shop. Check your quote wording and prices before sending.

Step by step

  1. 1

    Open Settings → Money → Quotes & invoices. Under Approve link in quote emails, tick Put an approve link in quote emails and save the setting.

  2. 2

    Email the quote from Sign OS. The customer receives View and approve your quote as well as the quote PDF.

  3. 3

    The customer opens the quote, checks it, types their name and approves. Opening the link alone does not accept anything.

  4. 4

    Check your notification. If the quote is ready, it links to the new job. If dates, delivery details, a quantity selection or another check still need attention, open the quote, finish them and accept it to make the job.

  5. 5

    If you want the customer emailed when the job is made, switch on Order confirmation under Templates → Email.

Tips & gotchas

  • →Each link lasts 30 days. A newer revision closes the old link; email the current revision.
  • →This approves the order, not its artwork, and does not collect payment. Artwork proofs and deposits have their own steps.
  • →The feature starts off. Quotes sent before it was enabled do not gain a button inside the email already received.
