Bill a job from its actual time and materials

Compare quoted and actual work before raising the invoice.

What this is for

The Job card on Accounts compares what was quoted with the recorded work. Bill this job lets you use the quote, the actual work or an agreed amount of your own.

Before you start

  • •Record the time and materials used on the job first. You need permission to invoice and, for a different amount, approve job changes.

Step by step

  1. 1

    Open the job’s Production tab. Add missing time and materials so the comparison includes what was actually used.

  2. 2

    Open Accounts and read the Job card’s Quoted and Actual columns.

  3. 3

    Under Bill this job, choose the quoted amount, the actual amount or your own agreed amount.

  4. 4

    Press Bill. Check the invoice that opens, including the admin fee and any adjustment from the job’s earlier value.

  5. 5

    Issue the invoice through your normal accounting or card-payment workflow.

Tips & gotchas

  • →Actual labour uses the department’s Charge-out rate for billing actual time. If blank, it uses the hourly quoting rate plus markup.
  • →Set the shop’s admin fee under Quotes & invoices. It is separate from the amount of work you choose to bill.
  • →Recording costs is not the same as collecting payment. Check any deposits or invoices already raised before issuing the balance.
