Find your way around HR & Safety
The home page: what can't wait, the numbers, and a tile for every part.
What this is for
HR & Safety is one item in the sidebar for everything to do with your people and the shop's safety paperwork: licences, leave, staff files, policies, hazards, incidents, inductions and the rest. The home page puts whatever needs someone first, so nothing runs out or gets forgotten.
What is on this screen
Each part of the screen above, top to bottom, and what changing it affects.
Top of the page
- Report a hazard · Report an incident · Ask for leave
- Quick buttons for the three things anyone might need in a hurry. Each shows only if your shop has that part.
- Can't-wait strip (red)
- Shows only when something is overdue or expired, for example '2 expired (licences & training)'. With one thing it links straight to it; with more, See them jumps to the Needs attention list.
Number tiles
- HR people: Away today · Leave to approve · Licences expired · Expiring soon
- The shop-wide numbers. Away today opens the Planner; the leave tile opens the approvals; the licence tiles open the skills grid. Expiring soon also counts staff uploads waiting for a check.
- Staff: My licences · Leave waiting · To do
- Their own numbers. To do adds up the inductions, policies to sign, safety actions and changes to confirm that are waiting on them.
Needs attention and the right-hand column
- Needs attention
- Every red or amber item from the tiles below, worst first, each with a link such as Renew →, Approve →, Sign → or Deal with it →. When it is empty, nothing needs anyone right now.
- Away in the next fortnight (HR people)
- Approved leave over the next two weeks, up to eight people, with Away now, Today, Tomorrow or In N days.
- How the shop's tracking (HR people)
- A bar for each thing you keep in order: licences current, inductions done, policies signed, risk reviews on time, safety data sheets current, machine services on time. Green is all in order, amber is 75% or better, red is below that. Each bar opens its area.
Area tiles
- For you
- My licences and tickets, My leave, My inductions, Policies to read, My safety actions and Changes for you. Everyone sees the ones their shop has.
- HR
- Staff files, Leave to approve, Licences & training, Policies, Recruitment and Someone leaving. Department leads who approve leave see Leave to approve here too.
- Safety
- Hazards, Incidents, Safety data sheets, Plant & equipment, Inductions, Risk register and Process changes, each with coloured counts of what's open or overdue.
- Set up → Settings
- Who gets reminded and when, what shows on the planner, leave rules and what staff can do for themselves. Only people who can change HR records see it.
Before you start
- Your shop has HR, or a plan with safety in it. See 'What HR & Safety comes with on each plan'.
- Staff see their own things. HR people, given the Manage HR & safety records permission under Settings → Team → Users & permissions, see everyone's.
Step by step
- 1
Click HR & Safety in the sidebar. If it isn't there, your shop has neither HR nor a plan with safety.
- 2
Start with the red strip and the Needs attention list. They are the things that are expired, overdue or waiting on someone.

Use the tiles to open an area. You only see the parts your shop has, and staff only see their own records.
- 4
HR people set who gets reminded and what staff can do for themselves from the Settings tile, or Settings → Team → HR & safety.
Tips & gotchas
- Staff never see anyone else's file, leave reasons, health or conduct records.
- The Manage HR & safety records permission has two levels: seeing everyone's records, and changing them. Give change rights only to the people who run HR.
- Anything with an expiry date reminds the right people before it lapses, so the home page is the one place to check each morning.
