Ask for leave, an RDO, or move an RDO

Put in a request from your phone, add a doctor's certificate, and track it.

What this is for

Staff ask for their own leave in Sign OS instead of on a sticky note. The request goes to whoever approves leave for their department, they can see where it's up to, and once it's approved the day off lands on the planner by itself so nobody forgets it.

Leave to approve
Top right, only for HR people and department leads or backups. Opens the approvals.
Annual leave available
What you can still book, in days, with the hours to book and the hours on your last payslip underneath. Hidden if your shop has switched it off.

Approved leave this year, how many requests are waiting, and your next day off.
Needs attention
Red when a request needs a doctor's certificate; amber if you're not in a department yet, so approved leave can't go on the planner.

Dates, the kind, working days and hours, your note, and who approved or declined it with their note.

Change edits a waiting request, or sends an approved one back for approval. Cancel it takes approved leave off the planner and tells the approver. You can only change or cancel before the leave starts.
How your leave adds up
Your last payslip balance, less each approved leave not yet paid, giving Available to book.

The request form

What kind of leave
Annual leave, Sick or carer's leave, RDO, Unpaid leave, Long service leave or Other. Moving an RDO asks Which RDO instead.
First day off · Last day off · Part of a day
Leave the last day blank for one day. Part of a day asks for the hours off, in quarter hours. Public holidays aren't counted.
Estimate
About how many hours over how many working days, and what you'll have left to book after it.
Note · Why it needs moving · Doctor's certificate
A note is optional; moving an RDO needs a reason. Sick leave can take a photo of the certificate now or later.

Before you start

  • •Your shop has the HR add-on, and your shop lets staff ask for their own leave. If not, HR puts it in for you.

Step by step

  1. 1

    Open HR & Safety and press Ask for leave, or go to My leave.

  2. 2

    Pick the kind of leave and the first and last day. For a few hours, switch on Part of a day.

  3. 3

    Check the estimate and what you'll have left, add a note if it helps, and press Send request.

  4. 4

    It goes to your department lead, or HR if nobody approves for you. You'll get a notification when it's approved or declined.

  5. 5

    Off sick? Ask for sick leave the same way. It usually goes straight on as approved. If a certificate is needed, press Add a certificate on the request and take a photo.

  6. 6

    To move an RDO, press Move an RDO, pick the RDO and the new day, and say why. Once approved, the planner entry moves.

Tips & gotchas

  • →Changing approved leave sends the change for approval. The original stays on the planner until the change is approved.
  • →Only you and HR can see a doctor's certificate. The person approving sees that one is needed, not the file.
  • →If you're told a certificate is still needed, you'll get a reminder each day for two weeks until it's in.
