Download your records and files

Choose the right export for reports, stock or job files.

What this is for

Reports export records as a spreadsheet or PDF. The file export downloads job and quote attachments. They cover different things, so a file ZIP is not a backup of all your customer and accounting records.

Before you start

  • •Your permissions control the records and financial fields you can export. Reports also needs to be included in your plan.

Step by step

  1. 1

    For records, open Reports → New report. Choose the source, fields, dates and filters, then check the results.

  2. 2

    Use Download CSV, Excel or PDF. The screen previews 500 list rows; exports can include up to 100,000. Split a larger report by dates or filters.

  3. 3

    For materials or items, open the relevant catalogue list, select the rows and use Download CSV.

  4. 4

    For attachments, open Settings → Your business → Plan & billing → Your data. Press Export files, or Export all files (ZIP) on the earlier billing screen.

  5. 5

    Check progress there. When it says Ready, download the ZIP. This export is limited to 500 MB; request help for a larger collection.

  6. 6

    For a full customer or supplier contact export, ask Sign OS for help. A customer report contains the fields offered in Reports, not every contact and address.

Tips & gotchas

  • →You can leave while the ZIP is building. An email notification is attempted, but the billing screen is the place to check its result.
  • →Download links expire. Request a fresh export if the earlier one is no longer available.
  • →Price book has no dedicated export button. Do not assume it is included in the attachment ZIP.
