Log a process change and retrain people
What changed, the safety check, who signed it off, and who needs retraining.
What this is for
When the way you do something changes, write it down: what changed, why, the safety check done first, who signed it off, and who needs retraining. The change closes itself once everyone on the list has confirmed they've been shown the new way.

Logging a change
- What changed · What kind · The detail · Why
- A process, a machine, a chemical, the layout, or something else.
- The safety check done first
- Must be written down before the change can be signed off.
- Risk it's checked against · Induction to redo · Came from an incident
- Optional links. An induction here is given to everyone on the list to redo.
- Who needs retraining
- Tick the people it affects.
One change
- Draft → Signed off → Retraining → Closed
- The stages, with dates.
- Sign off this change
- Your name, a note, a tick that you're satisfied with the safety check, and your signature. Everyone on the list is then asked to confirm.
- Your retraining
- For people on the list: tick that you've been shown the new way of working, sign and press Sign.
- Who needs retraining
- Each person: Confirmed with their signature, Waiting, or After sign-off.
- Edit this change · Close it without everyone
- Change it before it closes, or close it with a reason.
Before you start
- Your shop is on Scale. HR people log and sign off changes; staff confirm the ones they're on.
Step by step
- 1
Open HR & Safety → Process changes and press Log a change.
- 2
Say what changed and why, and write down the safety check done before it. Link the risk it's checked against if there is one.
- 3
Tick everyone who needs retraining, and pick an induction to redo if they need one. Press Add to the register.
- 4
Once the check is done, open the change and sign it off. Everyone on the list is told.
- 5
Show each person the new way of working. They open Changes for you, tick and sign. When the last one confirms, the change closes itself.
Tips & gotchas
- A change with nobody on the retraining list closes the moment it's signed off.
- People added after sign-off are told straight away and given the induction.
- Closing a change without everyone needs a reason, and that reason stays in its history.
