Run an improvement plan

Objectives with actions, measures and dated check-ins, an outcome, and both signatures.

What this is for

A proper improvement plan: why it's needed, a review period, urgent or ongoing, and objectives. Each objective has the actions agreed, how it's measured and dated check-ins, where the person adds their note and the manager comments and rates progress. At the end the manager records the outcome and you both sign. It can link back to the review or conduct record that led to it. Only HR people, department leads if you allow it, and the person once it's shared see it.

Start an improvement plan

Who it's for · Manager
The manager runs the check-ins and gets the reminders. It's an HR person or a lead of their department when your shop allows it.
Starts · Ends · Urgent or ongoing
The review period, and whether it's urgent (a safety or serious issue) or ongoing development.

What led to it
On their file: link a review or conduct record of theirs.
Objectives
Each with the objective, the actions and how it's measured. Add another objective adds more.

On, they're told and can see it and add their note at each check-in.

A plan

Stage · Print
Not shared yet, Running, Period over, outcome to record, Outcome recorded, waiting to sign, or Signed by both; and a page to print or save as a PDF.
The plan · Edit
The period, urgent or ongoing, the manager, whether it's shared, and why it's needed. Came from links to the review or conduct record.
Objectives · Edit · Add an objective
Each objective with its actions and how it's measured. Removing one needs at least one left.
Check-ins
Dated check-ins under each objective. The person writes their note; the manager sets the date, a rating (Not on track, Some progress, On track) and a comment. The manager is reminded two days before and on the day.
Final outcome
Objectives met, Partly met, Not met or Stopped early, the date it closed and what happens next. The manager is reminded a week before the plan ends and on the day.
Comments and signature
The person's own comments, then once the outcome is recorded, their signature.
Manager's signature
Signs once the outcome is recorded and the plan is shared. Once either signs, the plan is locked.
Remove plan
HR only. It's kept, stops reminding, and can be put back from Removed on their Reviews tab.

Before you start

  • •Your shop has the HR add-on. Starting and running plans needs change rights on HR & safety records, or a department lead role when your shop allows leads to run reviews.
  • •Improvement plans written as conduct records before this screen came in stay on the Conduct tab, read-only, exactly as written and signed.

Step by step

  1. 1

    Open the person's file → Reviews tab, or HR & Safety → Reviews & plans, and press Start a plan. From a review or conduct record, use Start a plan from this.

  2. 2

    Pick the manager, the review period and urgent or ongoing, say why the plan is needed, and add the objectives with actions and how each is measured.

  3. 3

    Open the plan and add dated check-ins under each objective.

  4. 4

    Share it with them. At each check-in they add their note, and the manager adds a comment and a rating.

  5. 5

    At the end, record the outcome and what happens next. Then they sign, and the manager signs.

  6. 6

    Press Print to keep a copy as a PDF.

Tips & gotchas

  • →Every objective needs a way to measure it that you can both check.
  • →Offer support or training alongside what's asked.
  • →If the outcome could lead to a warning or ending their employment, get advice first.
