Help/Production & the floor/Hold jobs until the deposit is paid

Hold jobs until the deposit is paid

Keep unpaid-deposit jobs off the release list, and move one up when you choose.

What this is for

Some shops don't start a job, artwork included, until the deposit is in. With Wait for the deposit before release on, a queued job whose deposit invoice is raised and not paid waits under Waiting for deposit and can't be released. It moves up by itself once the deposit is paid, and an admin can let one through sooner.

What is on this screen

Settings → Production → Job sheets

Wait for the deposit before release
Off by default, and saves as soon as you flick it. Off, jobs with an unpaid deposit still show on Ready to release with a Waiting for deposit tag and release as normal.

Production → To release

Waiting for deposit (n)
Folded away below Ready to release, so unpaid jobs don't fill the list. Open it to see them.

A held job's Release page

Move up without the deposit
Admins only. Moves the job up to Ready to release so design can start on it; it releases as normal once the proof is approved.
Release without the deposit
Admins only, on the Confirm step. Sends the job to the floor now.

Before you start

  • •The job has a deposit invoice: raised when the quote is accepted (Settings → Quotes & invoices) or by hand.
  • •You're an admin to change the setting, or to move a job up before its deposit is paid.

Step by step

  1. 1

Open Settings → Production → Job sheets and turn on Wait for the deposit before release.

  2. 2

From now on, a queued job whose deposit invoice isn't paid sits under Waiting for deposit on Production → To release, and Release refuses it.

  3. 3

When the deposit is paid (recorded in your accounting software, or paid by card through Sign OS), the job moves up to Ready to release by itself.

  4. 4

To start artwork before the money's in, an admin opens the job's Release page and presses Move up without the deposit. It goes back to To release under Ready to release.

  5. 5

To send it to the floor regardless, an admin goes through the wizard and presses Release without the deposit on the Confirm step.

Tips & gotchas

  • →Anyone who isn't an admin sees why the job is waiting and is told to ask an admin; they can't move it up.
  • →A customer on deposit terms shows the share (50% deposit, say) rather than COD on the job.
  • →Ticking Cash sale when you accept a quote skips the deposit invoice, so that job never waits here.
