Help/Integrations/Keep a OneDrive or SharePoint folder for every job

Keep a OneDrive or SharePoint folder for every job

Connect OneDrive or a SharePoint library and every quote and job gets its own folder.

What this is for

The Microsoft side of the same idea as Google Drive: connect OneDrive, choose a folder (a Team's or SharePoint site's Documents is best), and every quote and job gets its own folder there with everything added in Sign OS copied in. Staff can link files from OneDrive or SharePoint onto a job without uploading them. Sign OS never deletes anything from your OneDrive or SharePoint.

A job's or quote's Files tab

Add from OneDrive
Opens at the job's folder; browse up to Sites and OneDrive to find anything else. Ticked files (up to 25 at a time) are linked, stay in OneDrive and use none of your Sign OS storage.

Before you start

  • •Your shop is on Workshop or above, and you can manage files and sync.
  • •In a business on Microsoft 365, a Microsoft 365 admin has to approve Sign OS once before anyone can connect. If that's you, you approve it on Microsoft's screen; if your IT is someone else, send them the approval link on the card first.
  • •So far it has only been tested end to end with a personal Microsoft account (OneDrive only). Business accounts, Teams and SharePoint libraries are built but not yet proven on a live Microsoft 365 business. Tell us if you hit a snag.

Step by step

  1. 1

If your business is on Microsoft 365 and someone else looks after IT, copy the approval link on the OneDrive card and send it to them first.

  2. 2

Press Connect OneDrive and sign in with the Microsoft account that holds the shop's files.

  3. 3

Press Choose where job folders go and pick a Team's or SharePoint site's Documents, or a folder in OneDrive.

  4. 4

Sign OS makes a folder for each live quote and job and copies their files in, approved proofs with APPROVED in front of the name.

  5. 5

On any job's Files tab, Add from OneDrive links files already in OneDrive or SharePoint.

Tips & gotchas

  • →Pick a Team's or SharePoint site's Documents rather than someone's own OneDrive, so the files belong to the business and not to whoever set it up.
  • →A shop copies to one cloud at a time. Connecting OneDrive switches Google Drive off; what's already in Google Drive stays there.
  • →Linked OneDrive files don't come down through the Sign OS Sync desktop app and can't be opened in SOS Vector.
