Help/Purchasing & contractors/Say where stock actually lives

Say where stock actually lives

Racks, bays and vans — so people can find what the system says you own.

What this is for

Knowing you own three sheets is only half of it; somebody still has to find them. Stock locations let you name the places you keep things and record which one a delivery went into.

Step by step

  1. 1

Set up your locations — the rack, the mezzanine, the van, whatever your shop actually calls them.

  2. 2

Give a stock size or a parts item a default location if it always lives in the same place.

  3. 3

When you receive a delivery, each line can say which location it went into. It defaults to the item's usual place.

  4. 4

Stock movements then carry the location, so you can see where a batch went, not just that it arrived.

Tips & gotchas

  • →Deliberately simple: no bin barcodes and no per-location reorder points. It answers “where is it” and nothing more.
  • →A shop that keeps no locations sees none of this — nothing changes until you add your first one.
  • →Quantity per location is worked out from the movements rather than stored, so it cannot drift out of step with your real stock figure.
