Watchdog rules and automations

Get told about a low-margin quote or a stalled job without going looking for it.

What this is for

A watchdog rule watches for something you would want to know about — a quote priced under your usual margin, a job that has not moved in a week, an invoice going overdue — and tells you when it happens. Automations do the same for things that should happen on their own, like an aftercare follow-up.

Before you start

  • •Set your default margin first, or a margin watchdog has nothing to compare against.

Step by step

  1. 1

Open Settings and find Watchdog rules.

  2. 2

Pick what to watch — quote margin, job age, invoice age, or a job stuck in a department.

  3. 3

Set the threshold in your own numbers. A margin floor should be the number that would actually worry you, not a round one.

  4. 4

Choose who hears about it. A rule everybody gets is a rule everybody ignores.

  5. 5

Save. Matches arrive in the notification centre, and by email if you asked for that.

Tips & gotchas

  • →Start with one rule and live with it for a fortnight. Six rules on day one produces noise, and noise trains people to dismiss the one that mattered.
  • →Time-based automations cover the follow-ups nobody remembers — aftercare, warranty check-ins, and a nudge on a quote that was never answered.
